Onboarding Flow turns the Confluence pages your team already has into ordered onboarding paths for new hires. Open it from Apps → Onboarding Flow in Confluence.
What you see depends on your role:

Getting started (site admins and managers)
The setup checklist at the top of the app walks you through four steps and ticks them off as you go:
- Choose who manages paths. In Settings, pick the Confluence groups whose members can build paths, assign them and see everyone's progress. Site admins always can.
- Notify new hires (optional). See Notifications.
- Create your first path. Start blank or from a template.
- See it as a new hire. Assign the path to yourself, then open one of its pages to see the banner. Archive the assignment afterwards from Progress if you like.
Click Done (or Hide checklist) to hide it for everyone.
Building a path
Paths → Create path. Choose Blank path or a template (Company basics, Engineer, Support agent). Templates add sections and placeholder tasks, each with a hint about which of your pages to put there. You can also Duplicate an existing path from its … menu.
In the builder:
- Sections group steps, e.g. "Week 1". Each section has a default due day: day 1 is the hire's start date, in calendar days. Reorder sections with the arrows.
- Add pages finds pages and live docs by title (you only see pages you can view), accepts a pasted page link, and can add a page with its child pages in reading order. A page can be in a path once.
- Add step adds a manual task, such as "Set up a 1:1 with your buddy". Hires tick these off in My onboarding.
- A step's own due day overrides its section's. The builder warns when a due day falls outside its section, but doesn't block you.
- Move steps by dragging the handle, or with the keyboard from the step's … menu (Move up, Move down, Move to a section).
- Pages you or the hire can no longer view show as Page unavailable.
Changes are a draft until you Save. If someone else saved the path meanwhile, you'll be asked to reload.
Editing a live path is safe. People on the path follow its latest version, steps they've finished stay finished, and a step added after its due date shows as New rather than overdue. Removing a step keeps people's history but stops counting it.
Archive a path (from its … menu) to stop editing and assigning it. People already on it keep following it; archive their assignments in Progress if they should stop. Restore brings an archived path back.
Assigning
From a path (Assign), choose people and a start date. People who already have that path are skipped. The dialog gives you a link to My onboarding and a suggested welcome message to send. … → Assign to myself previews a path as a new hire.
Following progress
Progress lists every assignment: hire, path, start date, progress, overdue steps, last activity and status (Scheduled, In progress, Completed, Archived). Filter by path, status, Only overdue or Assigned by me, sort by any column, and Export CSV.
Click a hire to open their timeline: when each step was viewed and done, and its due date. From there you can change the start date (due dates and overdue counts follow), archive the assignment (keeps history, frees the path to be assigned again) or unassign (deletes it and its progress for good).
In the builder, each step shows how many people on the path have done it and the median day they did it.
On step pages, managers see an In N onboarding paths byline with links to those paths.
For new hires
- My onboarding lists your paths by section, with due dates. Tick off tasks and pages as you go; you can undo. Pages that are in several of your paths are ticked off in all of them.
- On a step page, a banner shows the path, step number and due date, with Mark as done and Next.
- On other pages, a reminder banner shows how many steps are due or overdue, with Continue. Hide for today hides it until tomorrow.
- If your start date is in the future you can look around already; nothing is due yet.
Notifications
In Settings → Onboarding pages and notifications, a site admin can turn on onboarding pages and choose a space. Then, when someone is assigned a path, Onboarding Flow creates or updates an "Onboarding — {name}" page for them under that space's home page. The page mentions them, so Confluence notifies them, and links to My onboarding. Once a week, hires whose steps became overdue get a reminder comment on that page. Send weekly digest now runs the same check immediately.
Onboarding Flow needs permission to add pages in that space. The pages belong to the app: it rewrites them, so edits made there are overwritten.
Personal data
Onboarding Flow stores Atlassian account IDs, not names or emails, and runs entirely on Atlassian's platform. Once a week it reports the stored account IDs to Atlassian; for closed accounts it deletes their onboarding data and blanks their onboarding page. Site admins can read more, and run the report, in Settings → Personal data.
Licensing
Onboarding Flow is free for small teams and paid per user above that, through the Atlassian Marketplace. If the license lapses, nothing is lost: everyone can still view paths and progress, export CSV and use the banners, but new paths and assignments can't be created until a site admin renews it in Manage apps.
Troubleshooting
- I don't see the Paths tab. Ask a site admin to add you to a manager group in Settings.
- A hire doesn't see the banner. The step banner appears on pages that are steps of their paths. The reminder banner on other pages only counts paths that have started and aren't complete, and stays hidden for the day after Hide for today. Both take a moment to appear after the page loads.
- "Allow access" appears. Confluence is asking you to approve the app's permissions after an update; approve it once.
- A step shows "Page unavailable". The page was deleted, or you (or the hire) can't view it. Restore the page, fix its restrictions, or remove the step.
- Onboarding pages aren't created. Check that onboarding pages are on, the space is set, and the app can add pages in that space.
